Senior Clerk – Tax Assessor

Statement of Duties:

This full-time position reports to Supervisor/Department Head as assigned to assure the smooth and efficient operation of the office so that the maximum positive impact of the department may be realized.

Essential Functions:

  • Retrieval and preparation of all documents to be transferred and/or noted in the records of the Tax Assessor.
  • Update information on the Chain of Title Card and in Phoenix and CAMA systems. Submit for Assessor review.
  • Transmission of quarterly sales reports to the Rhode Island Department of Revenue.
  • Answering information requests from the public.
  • Process change of address forms, updating records in Phoenix and CAMA systems.
  • Assist with Board of Review preparation as needed (posting meetings, copying files, reviewing minutes).
  • Coordination of inspections and meetings with Tax Assessor and taxpayers.
  • Maintaining Tax Assessors files of subdivision maps from Planning, creating new chain of title cards as necessary.
  • Updates and processes motor vehicle tax roll with Assessor.
  • Reviews all tax rolls with Assessor.
  • Entering tangible mounts into system and reviewing those entered by other clerks.
  • Creating tangible account numbers for new accounts.
  • Assist in the preparation of merger and appeal applications.
  • Mailing of exemption applications and processing returned forms.
  • Assisting with other duties as requested by Tax Assessor.
  • Assist collection staff with tax collection during clerk absences or extremely busy periods (only as needed).

Education and Qualifications:

  • High school diploma or equivalent.
  • Working knowledge of basic office procedures and the operation of common office equipment and machines.
  • Demonstrated basic and applied computer skills.
  • Ability to work independently in a busy office environment.
  • Attention to detail.
  • Good communications skills and ability to work with the public.
  • Such alternatives to the above qualifications as the Town Administrator may find appropriate and acceptable.

Work Environment:

  • Usual office working conditions. Must be able to lift/move/carry up to 10 pounds occasionally.
  • Frequently required to sit, stand, walk, and talk for potentially long periods of time. This includes using a computer monitor, monitor(s), keyboard, and mouse to complete many of the daily tasks.
